Full Time Estate Manager/PA in Laguna Beach

Must be a quick learner, sharp, extremely organized, strong ability to prioritize, excellent correspondence skills and follow up, and the ability to use specific systems in place already.

The candidate must love dogs; and have the ability to assist with overnight coverage in conjunction with other dog sitters for occasional overnight support if others are unavailable last minute. This is a requirement for the position. While we travel - extra overnight coverage might be needed for our dog. Extra compensation is $150 per night starting from 5 pm until the next morning 9 am. The only responsibilities will be to take the dog out for bathroom breaks and feed her in the morning.

The candidate must have a minimum of five years but ideally, seven + solid years of recent experience is preferred as an Estate Manager/Personal Assistant or Event Planning experience ideal as past experience.

The work schedule is Monday to Friday from 8:30 am to 4:30 pm but the schedule can vary due to the homeowner’s schedule occasionally changing and or depending on travel. Flexibility is an ABSOLUTE MUST always. Once in a while, weekends or after-hours assistance is required while traveling/special occasions/family events/specific projects arise. Also, we do not provide a vehicle for usage for this position, but miles are reimbursed.

Salary range DOE – salary history needs to have specific PA/Estate Manager experience, nanny, nor other work experience does not qualify. We offer vacation/holiday pay and medical benefits but no dental. We do not offer any 401K options.

Duties include:

· Acting as personal assistant to homeowners.

· Managing/scheduling calendars for both personal and professional needs.

· Travel – book flights, hotels, and occasional airport drop-offs or pick-ups.

· Assist with pre-travel packing and preparations before departure and unpack upon return home.

· Assisting with coordinating event/party planning occasionally.

· Managing household staff – housekeeper, gardeners, two of mother’s caretakers, pool guy, and part-time dog sitters/walkers. Implement guidelines, train staff to maintain set standards of the household.

· Assist with supporting her mother, who is diagnosed with Parkinson’s and Lyme’s disease. She currently resides in an assisted living facility but has extra caregivers during the day and on the weekends. This role requires medical care treatment management, caretaker management, which includes caretaker’s scheduling/payroll, researching therapies, and scheduling misc. appts. The candidate must have an excellent follow-up with medical appts, and records to be organized into a system using Evernote. The candidate will be the focal liaison and attend in-person key and crucial doctor appts to be her advocate when her daughter cannot attend. Occasional weekend accessibility via phone is needed depending on the circumstances but this is especially a priority when her daughter is traveling. This is to be a point of contact if issues arise with caregiver’s or medical complications transpire unexpectedly.

· Schedule home maintenance, repair work and supervising projects, which includes walkthroughs with vendors after tasks/project completed to meet standards and ensure household is left immaculate after vendor departs.

· Handling household bills, monthly budget updates, and administrative duties.

· Household Inventory – set up a system of reordered personal/beauty, pantry, cleaning, and misc. household products needed.

· Assisting with daily needs within the household – restocking fridge, pantry, and any misc. tasks needed in the household. Must have the ability to roll up your sleeves to wear various hats needed.

· Ensure the household is well kept and organized at all times.

· Grocery shopping and all other errands.

· Assist with coordination of managing care/maintenance with extra household assistant/dog sitter/walker for one dog a 60 lb. English Bulldog who requires weekly baths, cleaning folds, paws and special diet requirements due to compromised immune system.
